How it started
It was February 2024. The CEO came to my desk—well, he walked over. He had that look. You know the one. Urgent, but not panicked. That's worse. Panicked means something broke. Urgent means he's been planning something and forgot to tell me.
“We need 200 units of the T495 series by next Friday,” he said. “Kemet. The high-reliability ones. For the new sensor assembly.”
I nodded. Looked it up in our system. T495, yes—tantalum capacitor, 100 µF, 10V, 20% tolerance. Surface mount. I'd ordered those before. But always through our regular distributor. Price was fine. Lead time was two weeks minimum.
Two weeks wasn't going to work.
The pivot—and the mistake
I had maybe 3 hours to find an alternative before the day ended. Normally I'd get three quotes, check lead times, verify authenticity. Process 60–80 orders annually, you learn the dance. But with the CEO waiting—and I'll be honest, wanting to look efficient—I took a shortcut.
I found a vendor offering T495 caps at 18% below our usual cost. Same specs. Same Kemet part number. Promised delivery in 5 business days.
“Great price,” the CEO said when I told him. “Good work.”
I felt good for about 48 hours.
The crack in the veneer
What most people don't realize about electronic components sourcing—especially when you're not an engineer—is that the part number is only half the story. The other half is the supply chain. Who's the distributor? Are they authorized? What's the date code? Has the part been handled properly? These are things vendors won't tell you in a quote.
The parts arrived on day six. One day late. Not ideal, but workable. I sent them straight to the production floor.
Day eight, my phone rings. It's the lead engineer. “These caps are failing the bench test. Not all of them. Maybe 15 out of 200. But we can't ship a product with a 7.5% failure rate.”
Here's the thing about tantalum capacitors: they're sensitive to surge currents. Mishandling during soldering—or using parts that sat in uncontrolled storage for years—can cause failures that don't show up immediately. They fail later. In-circuit. Under load.
We had to pull the entire batch. Rework cost us time and part replacements.
The ugly math
Let me break down the total cost:
Original price savings: ~$320
Rework labor: $600 (2 technicians, 6 hours)
Replacement parts from authorized source: $420
Lost production time: Hard to quantify, but the CEO noticed.
My credibility hit: Priceless in the wrong way.
A $320 discount turned into roughly a $700 net loss. And that doesn't include the stress or the awkward meeting with my VP.
Looking back, I should have verified the distributor's status on Kemet's authorized partner list. At the time, the low price and fast promise felt like a win.
What I do differently now
I have mixed feelings about the whole experience. On one hand, it taught me a lesson I'll never forget. On the other, I wish I'd learned it from someone else's mistake, not my own.
Now, any time I source Kemet parts—whether it's the T495, the C210 series, or the newer C300 line—I follow three rules:
- Rule 1: Always cross-check the supplier against Kemet's authorized distributor list. Even if the price is good.
- Rule 2: Ask for the date code. Parts older than two years may need derating.
- Rule 3: Get a spec sheet from the authorized source, not the vendor. Counterfeiters copy part numbers but can't always replicate the performance curves.
There's something satisfying about a clean procurement process. After the chaos of that project, when I place an order for T495s through our authorized channel—knowing the lead time is predictable, the parts are authenticated, and the invoice will pass finance review—that's the payoff.
The real ROI
People assume the lowest quote means the vendor is more efficient. What they don't see is which costs are being hidden or deferred. In my experience managing purchases across 8 different component categories, the lowest up-front price has cost us more in 60% of cases when you factor in rework, delays, and compliance nightmares.
If I could redo that February decision, I'd pay the premium for the authorized Kemet distributor. But given what I knew then—nothing about that vendor's practices—my choice was reasonable. Naive, but reasonable.
Now, when someone asks me about buying capacitors, I tell them the story. Not to scare them. Just to save them the tuition I already paid.
